How do Virgin Atlantic complaints work? Use its online feedback form. Virgin says flights have no direct email address, and that an advisor will reply within 28 days of your acknowledgement. If the final response doesn’t settle it, or you hear nothing for eight weeks, take it to AviationADR, which is free. Virgin says it will be bound by the outcome.

How to complain to Virgin Atlantic directly
Virgin says all flight feedback begins with one of its online forms. Where you raise it depends on where you are in the trip.
| Stage | Where Virgin says to go | Notes |
|---|---|---|
| After a flight | The dedicated feedback form on its help centre | Virgin says there’s no direct email address for flight feedback |
| Before you travel | Concierge chat for a flight booking; the contact page or pre-travel feedback form for holidays, hotels and car hire | For problems with a booking, not a finished trip |
| At the airport or on board | A member of the Virgin Atlantic team | Raise it there and then |
| On a Virgin Atlantic Holiday | The local team in resort | Listed on Virgin’s In Resort Services page |
| After a holiday, hotel or car hire | [email protected], or a letter to Customer Care at Virgin Atlantic Holidays | A separate route from the flight form |
The post-flight form asks for your name, phone number and email, and for your booking reference, which Virgin describes as six characters beginning with a letter from A to G. A 10-digit Flying Club number is optional. It also asks for the flight number, date and departure airport, and lets you attach supporting documents. You also pick what your complaint is about. Virgin says it can only talk to the passenger named on the booking, or to a representative with that passenger’s written permission. If you’re complaining for a family member, get that permission first.

Write the complaint out in full before you open the form. Name the flight and date, explain what went wrong and state the outcome you want, such as a refund.
How long does Virgin Atlantic take to reply?
Virgin says every complaint is logged and given to a Customer Care Advisor, who will reply by phone, email or letter no later than 28 days after you’ve received your acknowledgement. The advisor will give you a name and contact details for follow-up.
| What happens | The limit | Source |
|---|---|---|
| Virgin replies to your complaint | No later than 28 days after you receive its acknowledgement | Virgin Atlantic |
| You can go to AviationADR with no reply | Eight weeks after your written complaint | AviationADR and the CAA |
| Deadline after a final response | Within 12 months of that response | Virgin, AviationADR and the CAA |
| How old the incident can be | Six years, or five if you live in Scotland | The CAA |
- Claims for delay or cancellation compensation, and for out-of-pocket expenses, have their own Virgin forms, linked from its compensation page. AviationADR’s page says to send Virgin a separate claim for each flight.
- Virgin’s page sets out amounts for eligible cancelled flights. If a flight is cancelled within seven days of departure, it lists £260 if you arrive two to four hours later than planned and £520 at four hours or more. Cancellations seven to 14 days out have their own bands. Nothing is due if the cancellation came more than 14 days before departure.
- For the full rules, see our guide to delay and cancellation compensation.
“Screenshot the acknowledgement before you do anything else. Virgin’s clock starts when you receive it. If Virgin goes quiet, the wait that lets you go to AviationADR runs from the day you wrote in, not from its reply. Put the dates in your diary now, because if a deadline’s argued later you’ll want the proof in your own hands.”

When to take your Virgin Atlantic complaint further
If you’ve had a final response and still feel the complaint is unresolved, Virgin says you can refer it to Airline Dispute Resolution, run by Consumer Dispute Resolution Ltd and approved by the Civil Aviation Authority. That’s AviationADR. Virgin says the service is free to its customers and that it will be bound by the outcome. The CAA lists Virgin among the airlines signed up.
- Send your complaint through Virgin’s form and keep the acknowledgement and any reference.
- Wait for Virgin’s final response, which AviationADR calls a deadlock letter.
- If there’s no response after eight weeks from your written complaint, you can go to AviationADR without one.
- Submit your case to AviationADR within 12 months of the final response.
- Include your booking details and everything you and Virgin have sent each other.

Attach them to your submission, with a dated timeline of what happened.
What AviationADR covers
AviationADR says it handles Virgin Atlantic flights arriving at or leaving any airport worldwide, once you’ve complained to Virgin first. Its page lists these types of complaint:
- Denied boarding, and delayed or cancelled flights.
- Lost or damaged luggage.
- Problems for disabled passengers.
- Unfair trading, pricing and misrepresentation.
The CAA says you can use ADR for incidents in the last six years, or five if you live in Scotland. New ADR rules took effect on 6 April 2026, and the CAA says you can still use the two airline schemes while it reviews its policy. Its guide to alternative dispute resolution explains the process.
Do you need a claims management company?
No. AviationADR is free, and the CAA says you don’t need a claims firm to use it. If a firm gets you a payment, the CAA warns it may deduct a significant proportion as its fee. Ask any firm for its fee in writing before you sign.
Booked with Virgin Atlantic Holidays?
Virgin treats holidays, hotels and car hire separately from flights. While you’re away, use the local team in resort. After you’re home, Virgin says to email [email protected] or write to Customer Care at Virgin Atlantic Holidays. The AviationADR steps above are the ones set out for flights. For a package complaint, ask its Customer Care team in writing which dispute service applies to your booking.
Before you send your Virgin Atlantic complaint
- Put the booking reference, flight number and date in every message.
- Say exactly what outcome you want.
- Attach boarding passes, receipts and any reply you’ve had.
- Note the name and contact details of the advisor who replies.
- Keep dated copies of everything you send and receive.
